BOOKING YOUR TRAVEL ARRANGEMENTS:
All traveler legal names provided at time of booking must EXACTLY match that on traveler Passport or other officially compliant proof of citizenship and identification to be presented during airline, cruise line, & hotel check-in formalities. Due to increased security measures, travelers may be denied boarding if names incorrect or spelled incorrectly. Nicknames not allowed. Upon receipt of your Confirmation Invoice, if you believe that any details are incorrect, you must advise us within 24 hours of the invoice date, as changes may be subject to change/revision fees or cancellation fees.
Special Needs Travelers: Travelers with physical disability requiring special attention or treatment must make any special needs or requests known at the time of the booking. Those requiring special assistance should be accompanied by a responsible adult fully able to provide any required assistance. TWG Travel cannot guarantee that destination airports, coaches, transfer vehicles, accommodations and public areas will be wheelchair accessible. Some of the events and activities available internationally and which involve transportation by bus, van, sailing or power vessel, may not have facilities for accommodating physically disabled travelers. Services required for travelers with special needs are not included in the package price, and may not be available.
Unless otherwise stated, all prices and supplements are per person, in U.S. dollars, based on two guests sharing accommodations. Any reduction in the number of guests in the room will likely increase the per person cost for the remaining guest(s). Travel Insurance is available for purchase. Prices reflect rates in effect (including foreign exchange rates) at the time of booking. However, TWG Travel reserves the right to re-invoice your reservation should an error be made in computing your package price. Airfares and prices in general may increase at any time without notice. Special offers may be withdrawn at any time. Taxes/Fees on all components of your trip are subject to increase without notice even after your reservation is paid in full. This includes, but is not limited to, increases in or the establishment of fuel or other surcharges, hotel & train taxes/fees, cruise port charges & fees, and airport taxes/fees, departure taxes, tariffs, or passenger facility charges. Any such increase is payable by traveler upon notification. Groups: Group cruises, group tours, group packages, or other group services are based on a minimum number of guests traveling together. If the number of travelers falls below the minimum required, a surcharge may be imposed on all travelers or the group may be cancelled.
Subject to availability, a request will be confirmed when the full applicable initial deposit or payment in full is successfully processed and a Confirmation Invoice issued. The deposit amount is determined by the hotel, cruise or tour company, and the airfare selected. Your payment must be received no later than 3:00 PM local time (ET) on the due date indicated on your invoice. Single occupancy guests are required to pay 200% of the per person deposit amount. Unless otherwise advised, your full balance is generally due approximately 75 days prior to departure. Holidays, peak periods, and certain itineraries may require final payment earlier.
Forms of Payment Accepted: Payments may generally be made by personal check, cash, money order, cashier’s check and the following credit cards: American Express, MasterCard, Visa and Discover. TWG Travel reserves the right to modify this policy based on supplier requirements, client status and prior credit approval. As debit cards offer limited protection to the cardholder, we recommend using a credit card for your purchase, so that you can exercise your rights under the Fair Credit Billing Act if you do not receive the services you purchased. Credit/debit card payments require a manually signed authorization form to process charges.
Guests paying by check should ensure the check is received by TWG Travel at least 10 business days PRIOR to the scheduled final payment deadline so that funds can clear their accounts. Post-dated checks will be deposited upon receipt. A processing fee applies for checks returned unpaid by the bank for any reason. If we do not receive, in cleared funds, the balance in full and on time, TWG Travel and the supplier(s) reserve the right to treat your booking as cancelled by you, in which case the cancellation charges set out in your confirmation invoice will become payable. Late payments accepted for reservations not so cancelled, will be subject to late fees for each person paying late.
Paying for Air: Bookings made using published or promotional airfares, or specially requested flights may require immediate deposit or payment in full by credit card at time of booking. It is recommended that we receive confirmation on land arrangements before air tickets are purchased.
REVISIONS, CHANGES, & CANCELLATIONS:
Written/Email notification is required to change or cancel a confirmed or guaranteed reservation. Cancellation/change fees apply.
Cancellation Guidelines: Cancellation fees are calculated based on the number of days prior to scheduled departure that your written notice of cancellation is received by TWG Travel and suppliers. Holidays, peak periods, and certain itineraries are subject to additional fees. Cancellation fees are assessed for full or partial cancellation of a confirmed reservation. The cancellation fee compensates TWG Travel for pre-payments made on advance booking of travel services, and for the administrative costs involved in processing the booking and cancellation. These fees are in addition to any charges assessed by suppliers such as Tour Operators, Cruise Lines, Hotels, or Airlines. Unless otherwise shown on your confirmation invoice or group agreement, the trip initial deposit is non-refundable.
Traveler Changes/Revisions: All changes (including name changes, corrections, substitutions, and additions) to a deposited/guaranteed reservation are subject to supplier acceptance and penalties. You may make a change by telephone provided we immediately receive written notification of the change. While we will try to assist, we cannot guarantee that we will be able to make your requested change. Where we can meet a request, all changes will be subject to the “per reservation” revision fees noted on your confirmation invoice. Change fees are payable by the person(s) changing. You should be aware that these costs usually increase the closer to the departure date that changes are made. We reserve the right to request notification of consent from each member of the party in respect of whom any change or cancellation is made. Where we are unable to assist you and you do not wish to proceed with the original booking, we will treat this as a cancellation by you, and cancellation fees will be payable. Certain arrangements, such as train or airfare, may not be changed after they have been confirmed, and any alteration could incur a cancellation charge of up to 100% of that part of the arrangements. In the event the initial room occupancy changes due to the cancellation of one or more travelers, the remaining passenger(s) will be responsible for the new occupancy rate.
Cancellation of Services: In the event a group or group tour is cancelled by TWG Travel, the Tour Operator or Cruise Line, TWG Travel will have no responsibility beyond the refund of all monies received, which will be deemed to constitute full settlement.
Air arrangements are available from U.S. departure cities only.
ACCOMMODATIONS & SERVICES:
While we strive to always provide the latest information and details about our product offerings on this web site, and make every reasonable effort to ensure the accuracy of the information presented, the details listed are subject to change without notice. Offered inclusions are subject to availability and may be withdrawn at any time. Neither TWG Travel nor the Tour Operator or Cruise Line shall be responsible if some of the services, bonus features or facilities generally offered by the destination supplier or cruise line cease to be available or are not working. Hotels may curtail or alter some facilities without notice, usually for purposes of ongoing maintenance and improvement. Use of recreation equipment and facilities which may be included in your vacation package is subject to availability. Room photographs that may be shown are for informational purposes only and may not depict the actual category purchased. Specific requirements with regard to room and other special requests cannot be guaranteed, and in most cases, cannot be confirmed prior to departure. No refunds or adjustments will be made for portions of the trip or attendant services not taken or used. Before booking, be sure to check with a TWG Travel representative on any specifics that may be important to you.
IMMIGRATION REQUIREMENTS & FORMALITIES:
Foreign entry requirements vary by traveler nationality. A valid passport is required for international travel. Valid (unexpired) travel documents such as passports, visas, proof of citizenship, proof of identity, re-entry permits, inoculation certificates and other health documents, family legal documents, and other entry requirements of the destinations on your itinerary may be required at embarkation/ boarding, entering other countries, and re-entry into the United States. REQUIREMENTS MAY CHANGE. WE RECOMMEND THAT ALL IMMIGRATION REQUIREMENTS BE VERIFIED WITH THE TOURIST OFFICE OR CONSULATE OF THE FOREIGN COUNTRY, WELL BEFORE DEPARTURE. As much as we’d like to help, it is solely the responsibility of the traveler to identify in his/her own country of origin, and obtain at his/her own expense, prior to departure, the specific valid immigration and other travel documentation required for admittance into all the countries on his/her itinerary and re-entry into the United States, and to produce them when required. Travelers must fulfill all entry requirements for any country in or through which their trip is to take place. They must check the requirements for their own specific circumstances with the relevant Embassies and/or Consulates and their own doctor as applicable. Travelers who fail to present proper documentation when required, may be denied boarding their flight, ship, or train, or from entering a country, and will not receive a refund or compensation of any kind. In addition, any fines, penalties, payments, or expenditures incurred as a result of such documents not meeting the requirements of domestic and foreign immigration and other government authorities will be solely the responsibility of the traveler. For cruises, a traveler may be refused boarding or disembarked without liability for refund, payment, compensation, or credit of any kind if traveler does not have proper documentation, and traveler will be subject to any fine or other costs incurred by carrier which result from improper documentation or noncompliance with applicable regulations, which amount may be charged to guest stateroom account and/or credit card.
The following government regulations and policies apply to ALL travelers, including children and infants.
Passports: Valid (unexpired) passports are required for all international travel and re-entry into the United States. Passports are required for all adults, children, infants, & newborns. In general, your passport must be valid for at least six months beyond the period of your scheduled stay in a foreign country and contain at least 3 blank pages (excluding amendment pages) available for entry and exit stamps issued when entering and exiting immigration points. If your passport is in its final year of validity, you are encouraged to check with the Embassy of the countries you are visiting. Travelers intending to secure (or renew) a passport, are encouraged to do so at least 4 months prior to travel. U.S. citizens may contact the U.S. Passport Agency in Washington, DC at (202) 647-0518 for information or visit their website. NON-US CITIZENS are advised to contact the nearest diplomatic or consular office of each country to be visited (or through which you must travel) and obtain the specific entry requirements for your nationality.
Visas: In addition to a valid passport, and depending on your country of citizenship, some countries require a visa and other specific travel requirements (such as proof of medical insurance). Where visas are required, you will need a valid visa for EACH entry into a country on your itinerary or through which you must travel. Therefore, if your itinerary has you entering/leaving/re-entering a country (including your port of embarkation), you will need to obtain a multiple entry visa. Please verify requirements with your airline, cruise line, or the visa service of your choice. Minors: Special documentation may be required for minors traveling alone, and for children traveling internationally without both parents or legal guardians. Contact the appropriate airline or cruise line for additional information.
Customs & Immigration: Customs and/or immigration officials can, at their own discretion, deny the passenger entry into their country. For example, a previous charge or conviction of a serious crime could be an obstacle in international travel, leading to denied entry. TWG Travel, and/or any other supplier of services cannot be held responsible for denied entry under any circumstances.
TRAVEL DOCUMENTATION & VOUCHERS:
Traveler is responsible for complying with the terms, conditions, or requirements of any service provider, or any country or governmental authorities, or to bear any costs or losses incurred as a consequence of not complying with them. TWG Travel is not responsible for the loss, theft, or misplacement of tickets, vouchers, or other documentation, nor for any expenses incurred by the traveler as a result of the loss, theft, or misplacement of these documents. There may be an administration charge for replacing any lost or damaged travel documents. DOCUMENTS: Where available, environmentally friendly electronic documents will be issued after we receive full payment for your reservation. and not normally later than 14 days prior to Where printed documents are to be provided, they will be mailed to the address provided at time of reservation unless you advise us otherwise, in writing, by the time of final payment, or before the documents are mailed. Documents may be sent via regular US mail at no charge to passenger. Documents are deemed to become the property of client once they have been mailed from TWG Travel. TWG Travel accepts no responsibility for misdirected documents, or documents lost in the mail. Traveler may request documents be sent via express mail at traveler’s own risk and expense. Documents delayed because of late payment may require overnight shipment billed to the recipient, or customer pick – up at the airport or pier at an additional charge. It is the traveler(s) responsibility to carefully check all travel documents/vouchers upon receipt to verify names, travel dates, and all arrangements for accuracy. Most hotels and cruise lines require a credit card imprint at check-in to act as a bond for incidental expenses such as telephone, spa, and other personal services. If you do not have a credit card you may be required to pay a cash bond directly to the supplier.
We will communicate with you via the email address you provide. It is important to use an email address you check regularly. Promptly advise us of any change to the email, mailing address, or contact telephone numbers you provide at time of booking.
NOTICE TO TRAVELERS:
Travelers should be aware that different living standards and practices may exist outside of the United States including but not limited to: provision of utilities, e.g. water and electricity; accommodations; services of all kinds; food; food preparation, and water quality. TWG Travel, Tour Operator and/or Cruise Line shall not be responsible for any loss, damage, illness, or injury resulting from different living standards. All hotels undergo routine maintenance and renovation. Certain resort areas are undergoing major growth with considerable ongoing construction. Be sure to check with a TWG Travel representative at 301-593-5703 on any specifics that may be important to you. HAZARDOUS CONDITIONS: TWG Travel has no special knowledge regarding the financial condition of the Suppliers, unsafe conditions, health hazards, weather hazards, or climate extremes at locations to which you may travel. For information concerning possible dangers at international destinations, visit Travel Resources on our site for links to the U.S. State Department, Centers for Disease Control and more, or visit their respective websites. Traveler assumes full and complete responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements of traveler’s destination(s), and all conditions regarding health, safety, security, political stability, and labor or civil unrest at such destination(s). Traveler hereby releases TWG Travel, LLC from all claims arising out of any problem covered in this paragraph. BY EMBARKING UPON HIS/HER TRAVEL, THE TRAVELER VOLUNTARILY ASSUMES ALL RISKS INVOLVED IN SUCH TRAVEL, WHETHER EXPECTED FOR UNEXPECTED. TRAVELER IS HEREBY WARNED OF SUCH RISKS, AND IS ADVISED TO OBTAIN APPROPRIATE INSURANCE COVERAGE AGAINST THEM.
OPTIONAL VACATION INSURANCE:
TWG TRAVEL offers travel insurance for purchase. Optional Travel Insurance may be purchased via this web site or through the travel insurance provider of your choice. To ensure eligibility of coverage, we recommend purchasing vacation insurance at the time of your initial trip deposit. According to travel insurance regulations, travel insurance is non-refundable, non-transferable after purchase.
LIMITATION OF LIABILITY:
By booking this trip, traveler acknowledges that in all events, TWG Travel shall not be liable for any consequential damages, and that the sole extent of TWG Travel’s liability shall never exceed the amount actually paid to TWG Travel by or on behalf of traveler.
This travel agency, offering these travel arrangements for sale, acts only as an independent agent in securing the services of the hotel, air carrier, cruise line, or other supplier(s) named on your itinerary all of which are disclosed principals and independent contractors. These travel services may be purchased through a Wholesaler, Tour Operator, or Cruise Line.
TWG Travel takes reasonable care in selecting all suppliers. However, because of its status as an independent agent, and because it maintains no control over personnel, equipment, or operations of the travel service suppliers, this travel agency shall not be held liable or responsible for any claims, losses, damages, costs, expenses, delays or loss of enjoyment of any nature or kind whatsoever, resulting from events beyond our or a supplier’s reasonable control, including but not limited to: any injury, damage, death, or loss, accident, or delay to person or property, due to any breach of contract, omissions, intentional or wrongful act, or act of negligence of, or default of any hotel, carrier, restaurant, company, or person rendering any of the services included in the cruise, package, tour, group, or itinerary, or by act of God, terrorist activities, social disruptions, lockouts or other labor disputes, disruptions or unrest, strikes, wars, blockades, civil disturbances, insurrections, riots, hijacks, thefts, mechanical or construction failures or difficulties, sickness, diseases, quarantine, local laws, earthquakes, floods, or other weather/climatic conditions, criminal acts or abnormal conditions or developments, or any other actions, omissions, or conditions outside the travel agent or supplier’s reasonable control. Further, no responsibility is accepted for any additional expense, omissions, delays, re-routing, or acts or restraints imposed by any government or other authorities. As all monies received for travel services are forwarded to the supplier, except for the travel agent’s commissions and fees, this travel agency shall not be responsible for refund of monies not in its possession. Unless the term “guaranteed” is specifically stated in writing on your tickets, vouchers, invoice, or reservation itinerary, TWG Travel does not guarantee any of such suppliers’ rates, bookings, reservations, connections, scheduling, or handling of personal effects. Traveler assumes complete and full responsibility for, and hereby releases this travel agency from any duty of, checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety or security conditions at such destinations, during the length of the proposed travel. TWG Travel is not a participant in the California Travel Consumer Restitution Fund. You are not eligible to file a claim against that fund in the event of TWG Travel default.
This TWG Travel Web site, including this agreement, regardless of where performed, shall be construed, governed and interpreted in accordance with the laws of the state of Maryland. It is agreed that any and all disputes or matters and actions brought to enforce or arising under or in connection with or incident to the responsibilities of TWG Travel under this web site including this Agreement, shall be subject to the exclusive jurisdiction of the federal and state courts of Maryland, brought in the state court located in Montgomery County, Maryland or the federal court located in the city of Rockville, Maryland. The parties hereby consent to personal jurisdiction and venue in the federal and state courts of Maryland for any action concerning any and all disputes arising in connection with this web site or this agreement. SEVERABILITY: If a court or other competent body with jurisdiction determines that any part of this Agreement is unenforceable, the remaining provisions of this Agreement shall remain valid, enforceable, and unaffected by such determination.
